Warrant cancellation letters, 1958-1967.

These records consist of letters or memoranda sent by other agencies or departments to the state comptroller requesting cancellation of a warrant or warrants and the reason for the cancellation. The warrant(s) should be attached to the letters. Upon receipt, Control and Accounts prepared a Journal Correction Voucher (series SX-9-27). The voucher was used to notify the data entry section to cancel the warrant(s). These records are no longer used or created. This series contains letters 1958-1959, 1963-1967. Warrants are now cancelled by using a Warrant Cancellation Request Form (DFC-24). An agency's copy is scheduled as GS-3-5 and is destroyed upon release of an audit report. The Finance Department's series S-9-13, Cancelled Warrants, which includes a notice of cancellation is destroyed after six years.
